Could you produce 3 years of tip records in 4 weeks?

Since October 2024, hospitality employers have been required to keep clear tipping records and provide them when requested by staff.

Most independents can't.

TipPot is the operational record system that means you can.

Most hospitality venues are not properly recording tips.

Tips are still tracked using

  • Spreadsheets
  • Notes
  • WhatsApp messages
  • Memory
  • End of month calculations

That works until

  • Staff request records
  • Allocations are questioned
  • Managers leave
  • Historical information is needed
  • The tribunal asks for proof
Under the tipping rules, employers must keep records for three years and provide them within four weeks when requested. Most independents cannot currently do that cleanly.
The day a staff member asks is the wrong day to start building records.

The operational record system for hospitality tips.

Record tips daily. Allocate them fairly. Maintain a clean audit trail.

No spreadsheets. No rebuilding history. No end of month confusion.

Daily shift records

Card and cash tips logged at end of service. Two minutes a shift.

Fair allocation

Everyone knows how the split works. By hours, by role, or your own rules.

Audit history

Every shift stays searchable. Answer any question in 30 seconds.

Staff visibility

Staff stop asking where their tips went. They can see for themselves.

Exportable records

Produce three years of records in minutes, not days.

Incentive tracking

Run bonus pots for service goals, reviews, or upselling. Same system.

Simple enough to use every day.

01

Create your venue

Add staff, set roles, choose your allocation method. Hours, equal split, role weighted, or custom.

02

Log the shift

At the end of service, enter card tips, cash tips, and staff hours. Two minutes from the till.

03

Allocate tips

TipPot calculates the distribution and stores it. Staff see their earnings in the app within seconds.

04

Keep the history

Every shift, every allocation, every export. Three years of records, ready when asked.

Clear records matter.

Workers can bring tribunal claims linked to:

  • Fair allocation
  • Written tipping policies
  • Record keeping failures

Compensation linked to tipping failures can reach up to £5,000 per worker.

For a team of 12: £5,000 × 12 = £60,000
TipPot is not legal advice. It is the operational record system that means you have something to show.

The difference when something is asked for.

Common questions.

We already use a tronc operator. Isn't that enough?
A tronc operator distributes tips. The Tipping Act puts the obligation to maintain records and produce them within four weeks on the employer, not the tronc. TipPot sits alongside your tronc and gives you the operator side audit trail the Act expects you to keep.
Does the Tipping Act apply to small venues?
Yes. The Act applies to all employers in qualifying sectors, regardless of size. A two person bar has the same record keeping obligation as a thirty cover restaurant.
What if my staff don't want others seeing their allocations?
Staff only ever see their own earnings. Allocation totals across the team are visible to managers only. TipPot increases transparency for each staff member without exposing anyone to the rest of the team.
Is TipPot a tronc operator?
No. TipPot is a tip allocation and record management system. It sits alongside your existing payroll or tronc arrangement, not in place of it.
Does TipPot guarantee compliance?
No. TipPot helps venues maintain clearer operational records and improve transparency around tipping. It is not legal advice and does not replace a written tipping policy. It does make producing the records that support one straightforward.
How long does setup take?
Most venues are operational the same day. Add staff, set your allocation method, log your first shift. Typically under an hour.
What happens to my data if I leave?
You can export your full records at any time. No lock in, no per export fees.
Does TipPot do anything beyond tip records?
Yes. The same system runs shift bonuses, service goals, and review incentives. Most venues set those up after their first month, once tip recording is running cleanly.
Does TipPot integrate with EPOS systems?
Not yet. TipPot works independently from your EPOS and is used alongside existing workflows. Integrations are on the roadmap for venues that need them.

Be ready before someone asks.

TipPot helps hospitality venues keep cleaner records, reduce arguments at the end of service, and maintain a structured tipping history.
